Overview

The dashboard is the central hub for everything related to parts ordering in PartBay. All of your orders, ETAs, part requests, rekeys, and flags live here. It gives you a real-time view of where every part is in the ordering process — from the moment a file comes in to the final rekey.

Dashboard Tabs

The dashboard is organized into tabs that represent the different phases of the part ordering process. Each tab shows a count of the parts currently in that phase, and a tab is highlighted when it has active parts.

All

Displays every part across all phases. Use this for a complete picture of everything that you're working on that may be in different phases of the ordering process.

New Order

This is where new estimate files appear, as well as existing files that have new parts added (e.g., from a supplement). Any time PartBay receives a new part request, it shows up here first.

Quoting

Shows all parts that are actively being quoted through connected marketplaces. Parts remain in this phase until quotes are returned and PartBay completes its selection.

Ready to Order

This tab is primarily the central parts team's workspace. It shows parts that have cleared quoting but have not yet been ordered — including quote only files, potential totals, and any parts that have been flagged.

What does "flagged" mean? A flagged part is one that PartBay has held back from auto-ordering because it requires human review. It's the responsibility of your central parts team (or whoever manages flags in your organization) to resolve these and get the parts ordered.

When auto-ordering is enabled, most parts skip this tab entirely — they move straight from quoting to ordered. The parts you see here are the exceptions that need attention.

Ordered

Shows all parts that have been ordered, along with their ETA information. Each order displays a status such as confirmed, rejected, fully ordered, or partially ordered. You can click into any order to view ETA details broken out by vendor.

Re-Keying

This tab shows the status of re-keys across your orders. Re-keying is the process where PartBay updates the estimate to align the part types and prices with exactly what was ordered.

This tab also surfaces advisor hits — for example, if a part was ordered and rekeyed, and an 11 (or other advisory code) came up during the process, it will be displayed here.

Why rekeying matters: Rekeying ensures your estimate matches what was actually ordered, keeping your documentation accurate for supplements, audits, and DRP compliance.

Status Icons

You'll notice small icons next to each RO number on the dashboard. These indicate activity on the file — for example, a message icon shows that estimators and central parts have been communicating back and forth on that order.

Why are there so few parts in the Ready to Order tab?

When auto-ordering is enabled, PartBay orders parts as soon as they clear quoting. Most parts skip Ready to Order and go straight to Ordered. The parts that do appear in Ready to Order are flagged for review or belong to quote-only / potential total files.

What should I do when I see flagged parts?

Flagged parts need to be reviewed by your central parts team or whoever manages flags in your organization. Review the flag reason, make any necessary adjustments, and then order the part manually.

Can I see communication between estimators and central parts?

Yes. Look for the message icon next to the RO number. Clicking it will show the conversation thread between your team members on that file.

What do the statuses on the Ordered tab mean?

  • Confirmed — The vendor has confirmed the order and ETA.

  • Rejected — The vendor rejected the order (e.g., part unavailable).

  • Fully Ordered — All parts on the file have been ordered.

  • Partially Ordered — Some parts have been ordered, but others are still pending (flagged, unquoted, or awaiting review).

What are advisor hits on the Rekeying tab?

Advisor hits are advisory codes (e.g., an 11) that surfaced during the rekey process. They indicate something on the estimate changed or needs attention as a result of aligning the estimate to what was actually ordered.
