Navigating Order Statuses

Overview

Once an order has been placed in PartBay, you can track each part through a series of status tabs on the order page. These tabs show where each part stands with the vendor and serve as the entry point for actions like returning or cancelling parts after they've been ordered or confirmed.

Order Status Tabs

The order page is organized into tabs that represent each phase of the post-order lifecycle. A part moves through these tabs as the vendor responds and as you take action on the order.

Ordered

Shows parts that have been sent to the vendor but have not yet been confirmed or rejected. These parts are awaiting a response from the supplier. You can still return or cancel parts in this tab, but because the vendor hasn't responded yet, you'll need to action the entire order at once rather than picking individual parts.

Confirmed

Shows parts that the vendor has acknowledged and accepted. These are the parts you can expect to receive. From here you can return or cancel either individual parts or the full set, depending on what you need.

Rejected

Shows parts that the vendor has declined. Each rejected part is marked with an X to indicate that no further action is available, the vendor will not fulfill them, so there's nothing to return or cancel.

Returned & Cancelled

Shows parts that you've pulled back through PartBay, either by returning them after the vendor confirmed or by cancelling them before fulfillment. This tab serves as the historical record of any parts that were removed from the active order.

Returning or Cancelling Parts

Returns and cancellations are handled directly in PartBay from either the Ordered or Confirmed tab. Open the tab, choose the parts you want to action, and click Return or Cancel. PartBay will prompt you for a reason and ask whether you'd like to reorder the affected parts.

Tip: Returns and cancellations are available for select marketplaces. If you're unable to click it, then assume the functionality is not yet availability. This feature will be available through all marketplaces soon.

What happens if I choose to reorder? The parts move back to Ready to Order, where PartBay selects the next best option based on your preferences and flags the new selection for someone on your team to review before the order is placed.

What happens if I don't reorder? The parts simply move to the Returned & Cancelled tab and no further action is taken.

Why can't I select an individual part on the Ordered tab? Because the vendor hasn't confirmed or rejected the order yet, individual part actions aren't available. You'll need to use Select All to action the full order together. Once parts move to Confirmed, individual selection is available.

FAQs

What's the difference between returning and cancelling?

Both actions remove the part from your active order, but the timing differs. Cancellation is typically used before the vendor has shipped or committed the part, while a return is used after the part has been received or fulfilled. PartBay will ask for a reason in either case.

What happens to the estimate when I return or cancel a part?

If the part is reordered, PartBay will rekey the estimate once the new part has been confirmed to keep your documentation aligned with what was actually purchased. If you chose not to reorder, the estimate is left as-is and any rekey adjustments would need to be handled manually.
