How do I Find an RO?
Last updated: May 10, 2026
Overview
PartBay gives you two ways to search for orders: a local search bar on the RO Manager, Activity, and Dashboard tabs, and a global search bar at the top of the platform. The local search looks within the page you're on, while the global search looks across both EMS exports and orders at the same time. For most day-to-day work, the global search is the fastest way to pull up what you need.
How It Works
Local search is page-scoped. The search bars only return results from the page you're currently viewing. If you're on Activity, you'll see matching EMS exports. If you're on Dashboard, you'll see matching orders.
Global search spans the platform. The search bar at the top of the screen looks across both EMS exports and orders simultaneously. A single VIN search will surface every time that vehicle was exported via EMS as well as any orders associated with it.
You can search by multiple identifiers. The global search supports a wide range of inputs, including VIN, RO number, vehicle name, customer name, and claim number. Some identifiers are more unique than others, which affects how many results come back.
Tip: Searching with the VIN in the global search bar is the best way to find an order. The VIN is unique and searches across archived orders as well, which the Dashboard search does not do unless you are in the archived section.
How to Find an Order
1. Open the global search
Click the search bar at the top of the platform, or use the keyboard shortcut Control-K (Command-K on Mac) to open it instantly from anywhere in the app.
2. Paste or type your search term
You can search by any of the following:
VIN
RO number
Vehicle name (year, make, model)
Customer name (first or last)
Claim number
3. Select the result you want
Results are grouped so you can see both EMS exports and orders for the same vehicle. Click the order to open it, or click an EMS push to see the latest export.
Choosing the Right Search Term
Some search terms return tighter, more relevant result sets than others. If you're getting too many matches, switch to a more unique identifier.
Search Term | Result Set | Best For |
VIN | Smallest | Landing on a specific record fast |
Claim Number | Smallest | Landing on a specific record fast |
RO Number | Small | Pulling up a known repair order. Many EMS files come over without an RO |
Vehicle Name | Larger | Browsing when you don't have a VIN |
Customer Name | Largest | Browsing when you only know the customer |
