Ready to Order Tab Overview

Overview
The Ready to Order tab is where parts live after they've cleared quoting but before they've been ordered. It's primarily the workspace for central parts teams and admins, but estimators and other users may also have access to certain actions depending on how your organization has configured permissions. From this tab you can place orders, adjust selections, request more quotes, and manage individual parts before they're sent to vendors.
Permissions and Roles
What you can do in the Ready to Order tab depends on two things: your role within PartBay and how your organization has configured user permissions.
Central parts users and admins have full access. They can change part selections, place orders, exclude or include parts, mark a file as a potential total, and take any other action available on the tab.
Estimators and other users have access that varies by organization. Some organizations allow every user to place orders, while others restrict ordering to designated users only. Even when ordering is allowed, changing selections may still be limited to central parts and admins. If an action is unavailable to you, the option will be disabled when you try to use it.
Order-Level Actions
These actions apply to the entire order or to all pending parts on it.
Place Order
Sends all pending parts to the vendor. Flagged parts are held back for manual review, unless you're central parts, an admin, or your organization has it configured so your position can place orders for flagged parts. If the file is currently marked as a quote only or potential total, you'll need to convert it first before the Place Order button becomes available. Export Selections
Pushes the currently selected pending parts back into the estimate with their part types, prices, and part numbers applied. This is useful when you want the estimate to reflect PartBay's selections without actually placing the order — for example, on quote-only files or when you want the customer to review the selections before committing.
Request More Quotes
Sends any pending parts back to the marketplaces to gather a fresh set of quotes. If five parts on an order have already been ordered and three are still pending, only those three will be re-quoted. Once the new quotes return, you'll see an updated set of options to choose from.
Part-Level Actions
You can also take action on individual parts from the three-dot menu next to each one.
Exclude a Part
Moves the part from Pending to Excluded. Excluded parts will not be ordered and are removed from the active selection set.
Re-Include a Part
Moves a previously excluded part back to Pending so it can be ordered. A part that has been manually excluded and re-included is marked to indicate it has been manually changed.
FAQs
Why can't I change selections on this order?
Changing selections is typically restricted to central parts users and admins. If your organization has configured permissions this way, you'll still be able to place orders (if allowed) but the selection options will be disabled.
What's the difference between Export Selections and Place Order?
Place Order sends parts to the vendor for fulfillment. Export Selections only pushes the part details back into the estimate — no order is placed. Use Export Selections when you want the estimate updated but aren't ready to commit to the purchase.
When should I use Request More Quotes?
Use it when the current quotes on pending parts aren't satisfactory — for example, when delivery times are too long, prices are high, or you want to see if newer options have come in since the original quote. PartBay will go back to the marketplaces and bring in a refreshed set of options.
What does it mean when a part shows it was manually changed?
It means a user took an action on that part — changed the selection, excluded the part, or re-included the part in the order. This indicator helps your team see at a glance which parts have been touched outside of PartBay's automated selection process.
